How to Use a Pre-Consultation Buyer Questionnaire (With Example Questions)

The buyer consultation is where a lead becomes a client. It's also where many agents spend the first half hour collecting information the buyer could have shared beforehand: price range, timeline, financing, must-haves. A pre-consultation questionnaire moves that part out of the meeting, so the meeting can be about what only you can provide — strategy, market knowledge, and a plan.
What a pre-consultation questionnaire is
A short set of questions the buyer answers before your first real conversation or consultation. Unlike an intake form buried on a website, it's sent personally, framed as a way to prepare, and designed to take a few minutes.
Done well, it gives you:
- the facts you need to prepare (matched listings, a budget reality check, a lender introduction);
- a sense of readiness, so you know what kind of meeting to plan;
- early signals of concerns you'll need to address;
- a buyer who arrives already invested in the process.
Design principles
Short. Eight to twelve questions. Anything longer turns into a survey and completion drops.
One question per screen. On a phone, a single clear question with tappable answers feels effortless. Long forms feel like work.
Multiple choice first, open text last. "Within 3 months / 3–6 months / 6–12 months / Just exploring" is faster than a free-text box. Save one open question for the end: "Anything else I should know?"
Your brand, not a generic form. Your name, photo and colors make it feel like the start of a relationship, not a data grab.
Useful to the buyer. Show them something at the end — a summary of their priorities, a preparation snapshot, next steps. People complete questionnaires that give something back.
Explain why. One line at the top: "So our meeting is about your plan, not paperwork."

Stay within fair housing guidelines: ask about needs (bedrooms, commute, priorities), never about protected characteristics such as family status, religion, national origin or disability.
When to send it
- As the first reply to any new buyer enquiry. Answer their question, then offer the questionnaire.
- When booking a consultation. "Before we meet, this helps me prepare."
- In your social bio and email signature. A standing "Thinking of buying? Start here."
- On open-house sign-in. A QR code instead of a clipboard.
- To past leads going quiet. A fresh questionnaire is a natural reason to reconnect.
Using the answers in the consultation
Arrive with a one-page brief:
