Real Estate Marketing guide

Real estate email marketing that gets read

Email is the channel you own. Social reach changes with every algorithm update; your list doesn't. The agents who get results from email send fewer, more relevant messages to the right segment.

Segment before you write

A single list that receives everything trains people to ignore you. Start with four segments:

  • Active buyers — people who completed a buyer questionnaire or are touring with you.
  • Leads from a listing — people who engaged with a specific property.
  • Sphere and past clients — people who know you.
  • Homeowners in your farm — people you want to be the listing agent for, contacted with appropriate consent.

The six listing emails

Every listing can produce six emails, each with one job:

EmailSend toJob
Just ListedActive buyers, sphereAnnounce and invite to the property page
Open HouseActive buyers, nearby contactsDate, time, one reason to come
Price ReductionBuyers who engagedNew price, invitation to revisit
Buyer follow-upPeople who viewed or askedAnswer, next step, Match Score
PendingBuyers who engagedThank them, offer similar homes
Just SoldSphere, farmSocial proof and a seller assessment

AI Marketing Studio writes all six from the listing's master brief, so the facts and angles match your posts and flyer.

Subject lines and preview text

  • Keep subjects short and specific: "Just listed: 4 bd with a home office on Maple Court" beats "New listing!".
  • Use the preview text to add the second fact, not to repeat the subject.
  • Avoid all-caps and exclamation marks; they look like spam because they usually are.

The body

Write like one person to one person. Three short paragraphs: what it is, why it matters to this reader, what to do next. One link. Your signature with your phone number.

Consent and compliance

Only email people who gave you permission or have an existing relationship that allows it under the law where you operate. Every marketing email needs your identity, a physical address and a working unsubscribe. When buyers submit a BuyerIQ assessment, marketing consent is a separate, optional choice — respect it.

What to measure

Opens are unreliable because of privacy features in mail apps. Measure clicks to the property page, replies, Match Score completions and showings booked. If a segment never clicks, send it less.

A simple cadence

  • Active buyers: when something genuinely matches.
  • Listing leads: the lifecycle emails above.
  • Sphere: once a month, one useful thing.
  • Farm: around sales in the neighborhood, with a seller questionnaire link.

Frequently asked questions

How often should real estate agents send emails?

As often as you have something relevant for that segment. Monthly for your sphere is a sustainable baseline; listing leads get the lifecycle emails as the listing changes status.

What should a Just Listed email include?

A specific subject, the key facts, one reason the home stands out, one link to the property page, and your contact details.

Do I need consent to email leads?

You need a lawful basis and must follow anti-spam rules where you operate, including identification and unsubscribe. Collecting explicit consent at lead capture is the safest practice.
